OakLeaf Clinics - Pine Grove Family Medicine: Stein has an exciting opportunity to join our team as a full-time clinic manager supporting both the Stein Blvd and West Clairemont clinic locations in Eau Claire.
OakLeaf Clinics is dedicated to providing our patients with compassion, trust, and a lifetime of individualized care. Our healthcare team consists of physicians, nurse practitioners, physician assistants, dietitians, nurses, respiratory therapists, and medical assistants working in concert with laboratory/imaging services to offer individualized care to the Chippewa Valley.
Position description
As the clinic manager, you'll lead the daily and administrative functions for both Pine Grove Family Medicine clinic locations. You will work closely with shareholder physicians, advance practitioners, clinic personnel, and staff to provide direction and leadership to set our team up for success in providing excellent patient care. In this position, you will drive an efficient cost structure and work to improve the working life of providers and staff continuously. Your primary responsibilities include managing daily clinic operations, ensuring appropriate staffing levels and scheduling of clinic personnel, and maintaining compliance with all policies, procedures, and regulations.
This position is on-site at 3221 Stein Blvd and requires travel 1-2 mornings per week to our 2741 North Clairemont Ave clinic location.
Responsibilities
- Lead the day-to-day operation and coordination of patient care services for both clinic locations
- Lead the clinic to improve patient, provider, and staff satisfaction
- Identify opportunities to increase quality, safety, effectiveness, and efficiency
- Develop a strong, collaborative relationship with the clinic shareholder group
- Assure that excellent patient/family-centered care is provided at all levels within both clinic locations
- Direct and evaluate the department's workforce in terms of overall staffing and scheduling
- Collaborate with HR department to execute staffing strategies to hire new staff that meet our service and patient care standards
- Stay abreast of new technology in supplies and equipment and evaluate for quality or cost improvements
- Evaluate clinic room utilization and make recommendations for improvement
- Maintain a neat and organized workspace and create a professional working environment
- Follow and enforce adherence to established policies, procedures, and regulatory requirements
- Initiate the development and revision of policies and procedures specific to programs of care
- Engage in and provide ongoing feedback to staff members
- Listen to and resolve complaints/concerns from patients and employees
- Prepare and conduct performance reviews for all staff employees
- Conduct team communication to keep staff informed of daily/weekly goals and any changes or new requirements in policies and/or procedures
- Manage inventory of tools, instruments, and supplies
- Addresses all maintenance and housekeeping issues as needed
- Understand and follow HIPAA regulations and maintain confidentiality
- Understand and follow state and Federal OSHA laws, infection control, and Safety Standards
- Collaborate with the accounting department to make sure expense invoices are properly coded and given to the accounting department for timely payments
- Collaborate with the payroll department to ensure all payroll-related items are handled properly, i.e., timecards are approved timely, pay changes are communicated, etc.
- Learn and follow OakLeaf Clinics' administrative and operational procedures
- Participates in OakLeaf Clinics' administrative and management team meetings monthly to support OakLeaf Clinics general overhead initiatives and drive consistency across divisions
- Additional duties may be assigned
Qualifications
- Bachelor's degree in health care management, business, or related health field - preferred
- Two years of health care operations supervisory/management experience or four years of progressive, relevant supervisory/management experience - preferred
- Excellent interpersonal communication, problem-solving, and conflict-resolution skills
- Possession of analytical decision-making skills necessary to quickly assess and resolve complex logistical, technical, and patient care problems and issues
- Ability to train, motivate, and supervise subordinate staff
- Ability to address and manage conflict in a direct and professional manner
- Ability to build collaborative relationships with providers
- High emotional intelligence as evidenced by ability to evaluate/perceive a situation from multiple lenses and understand various perspectives in coming to problem resolution
