Oakleaf Clinics - Eau Claire Medical Clinic has an exciting opportunity to join our growing team as a full-time imaging management specialist.

Position description

The image management specialist is responsible for accurately retrieving, managing, documenting, and releasing medical images and protected health information (PHI). This role supports clinical workflows by coordinating image transfers between PACS and EMR systems, ensuring regulatory compliance, and providing responsive support to internal and external stakeholders.

Responsibilities

  • Learn basic ability to transfer images in various imaging modes to and from PACS and Electronic Medical Record (EMR) database
  • Obtain basic understanding of the relationships of PACS/EMR databases supporting both internal workflows
  • Request and monitor the retrieval of images and protected health information (PHI) from multiple providers and clinics prior to the patient's initial visit that is complete
  • Reviews incoming orders and obtains appropriate prior images in advance of the scheduled exam date
  • Follow the appropriate request process, ensuring the release of information is signed and in EMR for both retrieval and release of images/interpretations
  • Document through specified pathways in the EMR
  • Follow statutory guidelines and other regulations to independently evaluate and respond appropriately to requests for release of patient information
  • Provide telephone support for both internal and external callers (e.g., staff, doctors, or patients)
  • Maintain accurate and complete databases to account for all disclosures
  • Process requests for a timely and accurate release of information
  • Complete other duties as assigned
  • Work a flexible schedule within the clinic or department hours based on clinical demand or need

Qualifications

  • Minimum of one year of experience performing release of information, patient access, and/or scheduling and registration, or direct patient care experience (three years or more preferred)
  • Three years of experience performing release of information activities, patient access, and/or registration, or direct care experience
  • Epic experience required
  • Medical terminology knowledge and understanding of patient care notes
  • Excellent interpersonal and customer service skills
  • Detail-oriented and accurate
  • Passionate about providing patient-focused care
  • Ability to multitask with attention to detail

While performing the duties of this job, the employee regularly works in a clinic setting.
